CareMyCase Privacy Notice

1. Introduction
Welcome to CareMyCase, Inc. (“CareMyCase,” “we,” “us,” or “our”). We value your privacy and are committed to protecting the information you share with us. This Privacy Notice explains how we collect, use, and protect information from licensed U.S. attorneys (“you” or “user”) when you use our website, subscription platform, and related digital services (collectively, the “Platform”).
By using CareMyCase, you consent to the practices described here. If you do not agree with this Notice, please discontinue use of the Platform. We may update this Notice periodically, and the effective date above will always reflect the latest version.
2. Eligibility and Children's Privacy
CareMyCase is exclusively for licensed U.S. attorneys aged 18 or older. We do not knowingly collect or store information from minors. If we learn that a person under 18—or anyone who is not a licensed attorney—has submitted information, we will promptly delete it. If you believe such information has been submitted, please contact us immediately.
3. Information We Collect
A. Information You Provide
When you create an account or use our services, you provide personal and professional information such as:
- Account details: Name, email, phone number, address, password, and bar credentials.
- Billing information: Payment details processed securely through accredited third-party processors.
- Profile data: Practice areas, jurisdictions, firm name, experience, or other professional details you choose to share.
- Posts and communications: Case listings or messages exchanged with other attorneys. Important: Do not include any confidential or client-identifying information in posts or messages.
B. Information Collected Automatically
We collect limited technical and usage data such as:
- Log and device data: IP address, browser type, device type, access time, and viewed pages.
- Cookies: Small text files that keep you logged in, save preferences, and help us analyze aggregate traffic.
- Analytics: We use tools like Google Analytics to understand usage trends (see Cookies and Analytics below).
C. Information from Third Parties
- License verification: We may confirm your bar status using public bar directories or verification vendors.
- Payment processors: Our payment partners provide us with basic transaction confirmations only.
- Analytics or marketing tools: Limited, aggregated statistics to improve performance; never tied to identifiable individuals.
We do not request or store client files, social security numbers, or any sensitive personal data. The Platform is for professional networking, not client intake or file sharing.
4. How We Use Your Information
We use the information we collect for purposes consistent with providing and improving the CareMyCase platform, including:
- Providing Our Services: To set up and maintain your account, authenticate you as a licensed attorney, and provide the features of our referral platform. For example, we use your information to enable you to post available cases, browse referral opportunities, send and receive messages, and connect with other attorneys. We will also use your information to process subscription payments and manage your account status.
- Communication: To communicate with you about your account and usage of the platform. This includes sending administrative emails (for example, confirmations of subscription payments, notices of expiring subscription, updates to our Terms or Privacy Notice, or important platform announcements). We may also send you emails about new features, newsletters, or promotions if you have not opted out of such communications. You can unsubscribe from marketing emails at any time by using the link in the email or contacting us as described below.
- Verification and Security: To verify your identity and licensure status (for eligibility to use the platform), and to detect and prevent fraud, security incidents, or other malicious activity. For example, we may use your information to investigate suspicious activity or violations of our Terms of Use and to ensure the platform is used only by licensed attorneys.
- Improvement and Analytics: To analyze usage of the platform and improve our services. We track aggregate usage metrics (such as total number of referrals made, popular practice areas, site traffic) to understand how our platform is used and to guide development of new features. This helps us enhance user experience, fix technical issues, and inform our business strategy.
- Compliance and Legal Obligations: To enforce our Terms of Use, comply with applicable laws and regulations, and cooperate with lawful requests by public authorities. We may use your data to meet obligations under U.S. law (e.g. verifying that our users are licensed professionals), to ensure compliance with ethical rules, or to respond to court orders or subpoenas.
- Neutral Tools for Compliance: We may use the information you provide about case referrals to offer you neutral tools and reminders aimed at assisting with ethical compliance. For example, if you indicate you are referring a case, the platform might remind you about obtaining client consent or provide an optional template (like a referral addendum). These features use your information to support you, but we do not intervene in your actual referral arrangements.
- Advertising and Marketing (Limited): CareMyCase does not show third-party advertisements on our platform. However, we may use limited data for our own marketing. For instance, we might use your email to send newsletters, or use cookies to show you CareMyCase ads on other websites you visit (so-called retargeting). If we do so, it would typically involve services like Google Ads or Facebook, which use cookies to remember that you visited our site and then display our ads on other sites. You can opt out of most targeted advertising through industry opt-out sites or as described below.
We do not sell your personal information to third parties. Any usage of your data not described in this Notice will be done only with your consent.
5. Cookies and Analytics
Cookies
CareMyCase uses cookies and similar technologies to ensure our website functions properly and to enhance your experience. For example, cookies allow us to remember your login session so you don't have to re-enter credentials on every page, and they help us understand which features are most used. You can set your browser to refuse all or some cookies, or to alert you when cookies are being sent. However, if you disable cookies, certain parts of our service (like logging in or posting cases) may not work.
Analytics
We partner with third-party analytics providers like Google Analytics to collect information about your use of the platform over time. Google Analytics uses cookies to track how often users visit the site, what pages they visit, and what site referred them here. We use this information in aggregate to understand traffic and improve our services. Google Analytics collects your IP address and assigns a cookie ID to recognize you on subsequent visits, but it does not identify you by name. Google's ability to use and share information about your visits is restricted by the Google Analytics Terms of Use and Privacy Policy. You can opt-out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on or by disabling cookies in your browser.
Advertising Cookies
As noted, we may use Google Ads (including Google Ads Remarketing) and Facebook Pixel on our site. These tools set cookies or pixel trackers that record your visit in order to show you relevant ads for CareMyCase on other platforms. For example, if you visit our site, you may later see an ad for CareMyCase on Google or Facebook. These cookies do not reveal your identity to us, but they rely on your browsing history. You can opt out of Google's use of advertising cookies by visiting Google Ad Settings, and opt out of Facebook's tracking through your Facebook account ad settings.
Do-Not-Track Signals
“Do Not Track” (DNT) is a privacy preference users can set in some web browsers. Currently, our site does not respond to DNT signals because there is no consensus on how to interpret them. We adhere to the privacy practices described in this Notice regardless of the DNT signal. You may use the opt-out options described above to control targeted advertising and tracking.
6. How We Share Your Information
CareMyCase understands the importance of your personal information. We only share or disclose your information in the following circumstances:
- With Other Users on the Platform: As an attorney referral network, certain information you provide will be visible to other registered attorney users. By default, your profile (e.g. name, firm, location, practice areas, years of experience) is visible to other members to facilitate networking. When you post a case available for referral, the content of your posting (excluding any contact information you do not include) will be viewable by other attorneys browsing the platform. Similarly, if you express interest in another attorney's posted case, that attorney will see your profile info and that you have contacted them. We do not disclose your clients' identities or any sensitive case data on the platform – remember not to include such details in postings. Any messages you send to another attorney via our messaging system will be visible to that recipient. We are not responsible for what that recipient does with the information; sharing information with another user is at your own risk. Please exercise discretion and follow your ethical duties when sharing case information.
- With Service Providers: We share personal information with trusted third-party service providers who perform services on our behalf to support the CareMyCase platform. This includes payment processors (for handling subscription fees), cloud hosting providers (for data storage and platform hosting), analytics providers (like Google Analytics), email service providers (to send communications), and customer support tools. These service providers are bound by contractual obligations to keep personal information confidential and use it only for the purposes we specify. For example, our payment processor will use your credit card information solely to process payments and will not use it for their own marketing.
- Business Transfers: If CareMyCase is involved in a merger, acquisition, sale of assets, bankruptcy, or other business transaction, user information may be transferred to another company as part of that deal. We will ensure any successor entity honors the commitments of this Privacy Notice or provides you notice and an opportunity to opt out of the transfer of your personal information.
- Legal Obligations and Safety: We may disclose personal information if required to do so by law or in a good-faith belief that such action is necessary to comply with legal obligations or respond to valid legal process (e.g. a subpoena, court order, or government demand). We may also share information if we believe it is necessary to investigate, prevent, or take action regarding suspected illegal activities, fraud, or situations involving potential threats to the safety of any person or the security of our platform. Additionally, we may share information to enforce our Terms of Use or to protect the rights and property of CareMyCase, our users, or others (for example, exchanging information with other companies for fraud protection or spam/malware prevention).
- With Your Consent or At Your Direction: We will share your personal information in any other circumstance where you have given us clear consent to do so. For instance, if you request that we integrate a third-party service or directory with your account (e.g. to import profile data or reviews), we would send information to that third party with your authorization. We may also disclose information to which you have made public or agreed to share.
We do not sell or rent your personal data to third parties for their own marketing purposes, and we do not share personal information with non-affiliated third parties for marketing without your permission.
7. Data Security
We take the security of your personal information seriously. CareMyCase implements reasonable administrative, technical, and physical safeguards designed to protect your information from accidental loss and from unauthorized access, use, alteration, or disclosure. For example, our website uses encryption (HTTPS/TLS) to protect data transmitted between your browser and our servers. We store data on secure servers maintained by reputable cloud providers and use firewalls and access controls to restrict access to personal data. We also require user account passwords to be complex and encourage you to use two-factor authentication if available.
However, no method of transmission over the Internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security. Any transmission of personal data to our site is at your own risk, and CareMyCase is not responsible for circumvention of any privacy settings or security measures contained on the platform.
Your Role in Security: You are responsible for keeping your account credentials confidential. Choose a unique, strong password and do not share it with others. If we have given you (or you have chosen) credentials to access certain parts of the platform, you are responsible for protecting those. Be careful about posting personal information in any areas of the platform that may be visible to other users. The safety and security of your information also depend on the precautions you take. If you believe your account has been compromised or an unauthorized person has accessed your account, please notify us immediately.
8. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes outlined in this Notice, unless a longer retention period is required or permitted by law. In general, this means we will keep your information for as long as you maintain an account with CareMyCase. If you cancel your account or your subscription expires, we may retain certain data for a period of time: for example, to comply with legal obligations (such as maintaining transaction records for tax and accounting purposes), to resolve disputes, to enforce our agreements, or as otherwise required by law. When your personal information is no longer needed for these purposes, we will securely delete or anonymize it.
Please note that even after you delete your account or ask us to delete your personal data, residual copies may persist in backup media for a short period (though they will no longer be accessible through the platform). Also, information that you have shared with other users (for instance, messages or referral details you sent to another attorney) may remain in that recipient's inbox or records. We do not control the data retention practices of other users.
9. Your Choices and Rights
We respect your control over your information. Depending on your location and applicable law, you may have the following choices and rights regarding your personal data:
- Access and Update: You can access and update certain account information by logging into your CareMyCase account and visiting your profile or account settings. For example, you can update your contact information, password, and practice details. If any personal information we have is inaccurate or has changed (such as a new email address or updated license status), please update it promptly in your account or contact us for assistance.
- Account Deletion: You may delete your CareMyCase account at any time. You can typically do this through the account settings on our platform or by contacting us at the support email provided below. Upon your request, we will deactivate your account and remove or anonymize your personal information from active databases, in accordance with the Data Retention section above. Keep in mind, as noted, we may retain certain information as required by law or for legitimate business purposes (e.g. records of transactions, or to prevent fraud or future abuse). Deleting your account will remove your profile and case postings from view on the platform.
- Opt-Out of Marketing Communications: If you prefer not to receive promotional emails or newsletters from us, you may opt out at any time. Simply click the “unsubscribe” link in any marketing email, or adjust your email preferences in your account settings (if available). You may also request to opt out by contacting us at our support email. Please note that even if you opt out of marketing messages, we may still send you transactional or administrative emails related to your account or the platform (for example, renewal notices, password reset emails, or changes to our terms), as these are not promotional.
- Cookie Choices: As discussed in Cookies and Analytics, you can control or delete cookies through your browser settings. You can also opt out of certain third-party tracking and advertising cookies (e.g. Google Analytics, Google Ads) by using the tools provided by those third parties. Refer to the links in the Cookies section for guidance.
- California Privacy Rights: If you are a California resident, you have specific privacy rights under California law (including the “Shine the Light” law and the California Consumer Privacy Act/California Privacy Rights Act). These may include the right to request information about our data practices, such as the categories of personal information we have collected and the categories of third parties with whom we shared personal information for direct marketing in the prior year. CareMyCase does not disclose personal information to third parties for their direct marketing without consent, but if you are a California resident and wish to make a request under Civil Code § 1798.83 (the “Shine the Light” law), please contact us as described below. We will provide the required information to you per the statute. Additionally, California (and potentially other states) may grant rights to access, correct, or delete personal information, or to opt out of certain data sharing. If those laws apply to CareMyCase (considering our platform is intended for business-to-business use by attorneys), we will honor the rights granted. To inquire about exercising any data rights under state law, please contact us. We will verify your identity and respond as required by law. We will not discriminate against you for exercising any privacy rights.
- GDPR and International Data: Our platform is intended for U.S. users, and we do not actively offer services to individuals in the European Union or other regions with GDPR-equivalent laws. However, if you are using the platform from outside the U.S., you understand that your personal data will be stored and processed in the United States, and by using the service you consent to the transfer of your information to the U.S. (which may have different data protection laws than your country). If you are an international user and have questions or requests regarding your data, please contact us. We will try to accommodate reasonable requests and uphold the principles of privacy protection.

If we make material changes to how we treat your personal information, we will notify you by one or more of the following: (1) posting a prominent notice on our website, (2) sending an email to the primary email address associated with your account, or (3) presenting an in-app notification. We indicate at the top of this Notice the date of the latest revision. You are responsible for ensuring we have an up-to-date, active email on file for you, and for periodically reviewing this Notice for any updates. Your continued use of the CareMyCase platform after any changes to this Privacy Notice signifies your acceptance of the revised terms.
